Job Description

Overall Responsibilities:
The Executive Assistant to the CEO is a positive, goal-oriented person who continuously seeks opportunities for personal and professional growth. High integrity, discretion, and the ability to anticipate needs, drive to exceed expectations, and work efficiently are all important skills for this position. The Executive Assistant to the CEO must have previous experience as an Executive Assistant to a senior-level executive, and must live within 15 minutes of the Mission Viejo, CA area.
Summary of General Job Responsibilities:
- Attend meetings the CEO is attending to take notes and distribute tasks that may arise during the meeting to the rest of the team as appropriate.
- Manage tasks assigned by the CEO to the team to assure they are completed on time or assure communication is sent to the CEO if there will be unavoidable delays.
- Manage CEO tasks in Asana, creating daily lists for CEO with tasks and due dates to ensure completion.
- Manage and prioritize CEO emails
- Manage CEO business and personal Dropbox account, filing items and naming items in accordance to the LSTW naming convention
- Be at full discretion with CEO 1Password containing all personal information and passwords. Updating and organizing 1Password items as needed.
- Manage Calendar by scheduling calls and adding any events the CEO needs to attend.
- Records Management: Organize and monitor all records and documents for the CEO while also ensuring proper organization, storage, and naming of records.
- Special Projects - can range from doing research, to data analysis, to creative briefs, etc.
- Assist in managing the CEO's personal financial data entry reporting in coordination with the Accountant.
- Schedule and make travel arrangements for CEO and occasionally for immediate family of CEO
- Assist in personal tasks and errands including entering and monitoring CEO's expenses in Quick Books.
The Perfect Fit:
- Self-Motivated: A self-starter who works extremely well in a team environment, but you also excel when it comes to working independently with minimal supervision.
- Exceptionally Well Organized: Able to assess, prioritize and manage competing deliverables in a fast-paced and dynamic work environment.
- Willing To Travel: Attend company events 3-4 times per year to learn and engage with company programs, philosophies, and our clients, in addition to serving as an on-site support for the CEO at these events when needed.
- Confidentiality: Maintain total confidentiality in regard to data, information, and plans accessible by means of this position in supporting the CEO.
- While working remotely, must be able to work consistent hours and have a distraction-free work environment.
- Strong project management skills and ability to multi-task effectively.
- Ability to communicate effectively - oral and written and be able to create solutions in challenging situations.
- Efficient: must be able to work efficiently to meet deadlines.
- High Integrity: Must maintain high integrity in all work and communications -- be willing to learn and work in alignment with company values.
Required Experience:
- You have worked in this capacity previously and have a good understanding of the needs in general of a CEO.
- Must be proficient in using MS Word, MS Excel and MS PowerPoint
- Must have previous experience and working knowledge of basic accounting and Quickbooks.
Experience as a Plus but not required:
We use the following tools in our business, and while these can be learned are a plus if you already have experience using them:
- Google Platform -- google docs, calendar, gmail, and hangouts
- Asana Task Management
- Infusionsoft
- Skype
- Neat Receipt
- Dropbox
- 1Password
Other Requirements:
- Willing To Do Light Travel: You are willing to travel to our company events a few times per year to learn and engage with company programs, philosophies, and our clients.
- A home office environment that allows you to work without interruption or distraction.
